OneDrive Integration

OneDrive is the Microsoft cloud service that connects you to all your files. It lets you store and protect your files, share them with others, and get to them from anywhere on all your devices.

By integrating your portal and OneDrive, you are able to seamlessly connect assets between the two systems automatically without needing to download and re-upload assets.

How to enable this connector/ integration in your portal?

How to Set up OneDrive Integration

  1. Navigate to Settings > Advanced settings> Portal settings.
  2. Click Browse Integrations in the left sidebar then Configure in the OneDrive section.
  3. Enter a Name for this configuration.w-1.png
  4. Select Save
  5. If you've already configured a Webdam connection, it will be selected. If not, select New Authentication to add your Webdam credentials:w-2.png
    • Your authentication name: Enter a name for the authentication.
    • Domain: Enter your unique domain by copying the URL of your Webdam portal (including https://).
    • OneDrive Authentication: Click Add a new account this will open a pop-up where you will grant permission to enable the integration and input your OneDrive credentials.
  6. Click Next
  7. Select the OneDrive folder you would like to sync to Webdam.w-3.1.png
    • All assets uploaded to this folder will automatically be uploaded to the Webdam Asset Bank.
  8. Include Sub-folders: You can choose whether sub-folders in the selected folder will also sync to Webdam.
    • Check the box if you would like assets in the sub-folders to be synced to Webdam.
    • Leave the box unchecked if only assets uploaded to the folder selected should be uploaded to Webdam.
  9. Metaproperty Mapping: You can automatically add certain metaproperty values to all assets that are synced from OneDrive. For example, if you know that you’ll only be syncing images from OneDrive, you can set the Asset Type metaproperty to Images.
    • Click Choose an option under Webdam Fields and select a field from the dropdown.
    • In the OneDrive Metadata/Custom Value section, enter the option that the synced assets should be tagged with. 
    • Click Add to Configuration to add additional metaproperties. w-4.2.png

How to use the integration

After configuration, all selected assets in your OneDrive folder will upload to your portal’s Asset Bank after about 2 hours. Moving forward, any assets added or moved to the selected folder (or sub-folders) in the configured OneDrive account will automatically be uploaded to the Asset Bank after about 2 hours.

If you delete an asset from the selected OneDrive folder, it will not automatically be removed from Webdam. If you delete a OneDrive asset from Webdam it will remain in your OneDrive account.

If you would like an additional OneDrive folder synced, you will need to configure another OneDrive workflow.

Edit the integration

If you would like to disable the integration, update your synced folder, or edit your OneDrive credentials, you can edit the configuration

  1. Navigate to Settings >Advanced settings >Portal settings.
  2. Click Active Integrations in the left sidebar, then Edit in the section of the connection that you would like to update.
  3. Make your changes, then click Save.

FAQ

Which file types are supported?
Any supported file type can be added to your portal.

What happens to the asset if I delete it from my Webdam (or visa versa)?
If you delete an asset from Webdam the asset will remain in your OneDrive account, and if you delete an asset from your OneDrive account it will remain in your Webdam.

Does the integration support versions?
At this time it does not support versioning.

Once assets are added to my synced OneDrive folder(s), how long will it take to see them in Webdam?
The updates will run on a 2-hour interval - so every 2 hours your OneDrive assets will be pushed to your Webdam.

Is a specific OneDrive account type required for the integration?
No, any account type will work for the integration (such as personal, enterprise, etc).

What if we have multiple OneDrive folders that we want to sync?
You can choose to also sync all sub-folders within a selected OneDrive folder. If you’d like to sync a different folder, it will need to be configured and connected.
